Privacy policy
At Sadhaka we treat your personal data with care and respect. We only process your data when you contact us, register for an event, take part in the travel forum or subscribe to our newsletter.
What data we process
Depending on how you interact with us, we may process the following data:
- Name
- Address and place of residence
- Phone number
- Email address
- Gender, so we can place you appropriately or arrange room allocation
- Dietary needs, medical information and experience level, only if you share these voluntarily
- Any other information you choose to share with us
Why we use this data
- To process your booking or question
- To inform you about your event and our services
- To occasionally send you our newsletter, only with your consent
- To inform our chef about dietary needs
- To inform our teachers about medical considerations and experience level, so they can offer safe and appropriate guidance
Travel forum
Messages on the travel forum are visible to other participants of the same event. Do not post private contact details you do not wish to share.
You can also reach us on WhatsApp. If you do, we process your phone number, the name shown in your WhatsApp profile and the contents of the conversation — enough to answer your question and to find the conversation with your booking later on.
WhatsApp is a Meta service. Meta processes the messages on our behalf as a processor and may process data outside the European Union in doing so; our business use is governed by Meta's terms and standard contractual clauses. If you would rather not use WhatsApp, please use the contact form or info@sadhaka.nl — that option always stands, and you miss nothing by taking it.
When you register you can also choose whether to receive short updates about your event via WhatsApp. That choice is voluntary and you can withdraw it at any time by sending STOP. Important information about your booking will keep coming by email either way.
We keep WhatsApp conversations as long as other contact data: a maximum of 5 years.
Cookies and analytics
Our website uses functional cookies that are needed for the site to work. We only place analytical cookies after you have given consent, so we can improve the site. We show no advertising and do not track you without consent. You can change your choice at any time via Cookie settings at the bottom of the page.
If you accept analytics cookies, we measure how our website is used: which pages you view, how you found the site, how long you stay and where you drop off. We use PostHog for this, which stores the data within the European Union. Without your consent, we measure nothing.
These measurements may include a recording of your visit: a replay of what happened on your screen, including mouse movements and clicks. Anything you type into a form is made unreadable in such a recording. We use these recordings only to improve the site, for example to see where the registration form is unclear.
If you sign in through a login link, or fill in the registration form, we may link your earlier visit in this browser to you. This helps us assist you better, for example when a registration or payment did not go through. We may also record a technical characteristic of your browser (device recognition), so that we recognise your device when cookies have been cleared. This too happens only with your consent for analytics cookies.
We keep this measurement data for a maximum of 12 months. Only Sadhaka staff can access it. If you want us to delete recorded data, email info@sadhaka.nl.
Bot protection
To protect our forms (registrations, waitlist, contact, newsletter and login links) against abuse and automated traffic, we use Cloudflare Turnstile. This may involve Cloudflare processing limited technical information, such as your IP address and browser data, to determine whether a request comes from a human or an automated system. See the Cloudflare Turnstile Privacy Addendum for more information.
Sharing with third parties
We do not sell your data and do not share it with third parties, except where this is necessary for our services, such as our payment provider for handling your deposit or WhatsApp when you contact us there, or PostHog for our visitor statistics, or where we are legally required to do so. We always do this carefully and securely.
Retention periods
- General contact and booking data: a maximum of 5 years
- Dietary needs, medical information and experience level: a maximum of 1 year
Visitor statistics and recordings: a maximum of 12 months
Your rights
You have the right to access, correct, delete, port and object to your data, and you can withdraw any consent at any time. We respond to your request within four weeks.
Security
We take appropriate technical and organisational measures to prevent misuse, loss and unauthorised access to your data.
